Youth Sri Lankan American Association of Houston Constitution

ARTICLE 1: NAME OF ORGANIZATION


The name of this organization shall be Youth Sri Lankan American Association of Houston or the name can be shortened to Y-SLAAH. The Y-SLAAH will be listed as a subsidiary of the parent organization named Sri Lankan American Association of Houston (SLAAH).


ARTICLE 2: GOALS


1.Initiate and support youth programs and activities within the youth community of Houston, to promote friendship, organization and leadership skills among them.

2.Provide greater identity and visibility to Sri Lankan American Youth community in Houston and expose Sri Lankan culture to others.

3.Promote collaboration with external youth programs, and other youth volunteer activities.

4.Organize and participate in charitable and volunteer activities to help communities and programs internationally.

ARTICLE 3: MISSION


Promotion of  youth activities, cultural awareness and collaboration via volunteer and other youth events within the Houston community in order to be a positive influence.


ARTICLE 4: ORGANIZATION


This organization shall consist of an Adult Advisory Board  and a Youth Board.

ARTICLE 5: MEMBERSHIP


Membership of this organization shall be open to:

  • Youth -- ages 10-18 years


ARTICLE 6: BOARD


Adult Advisory Board shall consist of:

1. Up to three mentors

2. Vice President of the SLAAH (parent organization). The advisory board will be nominated and voted on by the members of the SLAAH.


Responsibilities of the advisory board

1. Support and advise the Youth Board and youth members with their activities

2. Provide support to the Youth Board with deposition and administration of finances

3. Provide organizational guidelines and policies with regard to security and consent for youth activities

4. Provide the youth board with assistance in maintaining web site, Facebook site, and web security

5. Document volunteer hours of the youth members and provide letters of recommendation when required

6. Provide guidance and be a mentor to promote organizational and leadership skills within the youth board.

7. Be accountable for YSLAAH activities and progress.

8. Vice President of SLAAH shall act as the liaison between YSLAAH and the parent organization

Youth Board shall consist of:

1. President

2. Vice president - who will also be the president elect

3. Secretary

4. Treasurer

5. Public Relations Officer

6. Web Master/Events Coordinator (Optional)

*The youth board will be selected by the existing board from applicants that have a membership that are 13-18 years of age.

Responsibilities of the Youth Board Officers:

1. Carry out the goals of this organization

2. Organize and attend regular meetings either in person or via video conferencing

3. Arrange an Annual General Meeting (which can coincide with the SLAAH Annual General Meeting)

4. Plan and organize events of interest and volunteer activities with the membership

5. Maintain website/Facebook site with the assistance of board and membership.

6. Work consistently with the adult advisory board and inform them of all the activities and seek advice on activities.


Qualifications of the Youth Board Officers

1. Key board member bearing the positions of President, Vice President, Secretary and Treasurer should be between ages 15-18. Other board members should be between ages 13-18.

2. Board members shall serve up to two terms except for the President. However, they shall not server two terms consecutively.


ARTICLE 7: Youth Board Officers


The officers of the youth board shall be nominated and elected by the adult advisory board and the parent organization (SLAAH)  Adult advisory board and SLAAH shall consider leadership skills and community involvement of the youth before they are nominated and elected, to ensure that the board has the right youth members to fulfill the mission and goals of the organization.


Terms of office begins on the first day following the SLAAH annual general meeting where the new board members will be introduced.

The President of the Youth Board shall:

The president shall preside over all regular and special meetings of the club  and board of directors. The president, with the approval of the board, shall appoint all standing and special committees. The president shall be an ex-officio member of all committees and helps organize volunteering opportunities. The President shall present a audio/visual of all the activities of the year to the community at the end of the year. President shall handover responsibilities to the vice-President or to the Secretary if he/she is unable to participate in schedule activities or meetings.  Also, in the event that the YSLAAH Youth Board does not have  a Event Coordinator, the President should take up the responsibilities of that position.

The Vice President (President Elect) of the Youth Board shall:

In the absence of the President, the vice-president shall preside at all meeting of the club and board. The vice president shall also be responsible for keeping and posting minutes of all club and board meetings. The vice president also keeps the attendance records of all board meetings. The vice president should be available to help the president with various events and activities. Vice President shall handover responsibilities to the President or to the Secretary if he/she is unable to participate in schedule activities or meetings.

The Secretary of the Youth Board shall:

The secretary shall retain all non-financial club records. The secretary also updates the calendar of events, updates the contact information of members, and keeps the attendance lists from club meetings. Secretary shall handover responsibilities to the President or to the Vice-President if he/she is unable to participate in schedule activities or meetings.

The Treasurer of the Youth Board shall:

The treasurer shall have access to all SLAAH Youth Group funds, maintaining all necessary records in addition to depositing all funds in the account. All disbursements shall be made under procedures determined by the board of directors. The treasurer shall report the club's financial status at each meeting of the club, and shall hold all records available for inspection by any club member.

The Public Relation Officer of the Youth Board shall:

The Public Relations Officer is responsible to assist in communications between the board, sponsors, and membership through Facebook, email, etc. The Public Relations Officer shall maintain a photographic and written record of all events in which the group has participated in a location that is readily accessible to members of the club. The Public Relations Officer should be present at every Youth group activity or have a representative there for him/her. Also, in the case that the YSLAAH Youth Board does not a Web Master, the Public Relations officer should take up the responsibilities of that position.

The Web Master of the Youth Board shall:

The web master shall maintain the website and social media accounts of the Youth group and provide technical support to the Public relations Officer to carry out his/her duties.

Events Coordinator of the Youth Board shall:

The Event Coordinator shall coordinate with all the other members to make sure all activities related to events organized by Y-SLAAH is properly organized.


ARTICLE 8: ANNUAL MEETING


1. Annual meetings will occur yearly and can coincide with the SLAAH Annual Meeting

2. New committee will be announced here

3. Board members should have a membership and send in a request that will be sent to the Secretary of the Youth Board, the Vice President of the SLAAH , and the Mentors

4. Nominees should be made aware and agree to the nomination


ARTICLE 9: FINANCES

The organization shall be financed by donations, money raised by the organization, and SLAAH.

ARTICLE 10: AMENDMENTS


The constitution of YSLAAH can be amended by unanimous vote of SLAAH executive committee. These amendments shall be made available to the member community and may be proposed by the YSLAAH committee.
